25 - RX CHANGE STATUS

Provides the practice with prescription changes requested by the Pharmacy. This replaces the time it takes to answer phone calls and faxes so it can be a benefit to the Practice.

If the pharmacy is participating in this option, prescription changes requested by the pharmacy can be electronically viewed in a queue. This information is automatically populated and refreshed into MedInformatix about every 30 minutes.

NOTE: This will require a change in workflow as the Change Requests will have to be monitored and answered in a timely fashion. If you would like this option enabled, please create a case in MICentral.

From the Workflow Views toolbar or the Views drop down select RX Change Request View.

If Changes have populated, an icon will appear in the toolbar at the top of the screen.

BUTTONS AND FILTERS

  • REFRESH – This displays any previously downloaded Rx Change Request information.
  • DOWNLOAD CHANGES – This will go out to SureScripts and bring in any new information that has not been downloaded automatically.
  • FILE – This will take the User to the patient chart
  • DEMOGRAPHICS – This will take the User to the Demographics screen
  • VIEW APPTS – This will give a list of the patient appointments
  • SEND MSG – This will enable the User to send a message to the provider or other staff member
  • RESPOND TO PHARMACY – This will allow the User to respond to the Rx Change Request. See Below
  • MATCH – This will allow the User to match the Rx Change Request to a patient. See Below
  • PRESCRIBER – This will give the User an option to filter the requests by providers in list
  • REQUEST TYPE – TheraputicInterchange, PriorAuthorization, Generic Substitution. See below
  • STATUS – Internal information to determine where in the process the prescription resides. See below
  • DATE FILTER – Filter dates desired
  • INCLUDE PROCESSED ITEMS – Select when viewing completed Rx Change Request information

RX CHANGE REQUEST STATUS

  • This displays the status of each Change Request as it moves through the process.
  • New – new request
  • Confirmed – process started in MedInformatix
  • Denied – denied by User
  • Approved – approved by User
  • Completed – received by NewCrop prior to being received by pharmacy
  • Checked - verified acceptance by pharmacy

RESPOND TO PHARMACY

  • ACCEPT

    Allows the User to accept the requested change from the pharmacy.

    A Prior Authorization number can also be added, when requested.

  • DENY

    Allows the User to Deny the requested change from the pharmacy

    A Deny Reason should be chosen from the dropdown.

    The Deny Reason dropdown list cannot be modified in any way.

  • OVERRIDE

Allows the User the option to override the change request from the pharmacy.

The User selects Override then selects Save

If the medication name is not in the Medications History a message will appear Picture 5520

The User can choose the same medication at a different strength or select a different medication.

The Dispense, Refills, Instructions, etc. can be modified as well.

Once the Rx Change Request has been processed, the Medications History will be updated.

The item will be removed from the Rx Change Request View.

Select ‘Include Processed Items’ to view the previously processed requests.

MATCH

All requests must be Matched prior to being processed.

  1. Select the Change Request from the list.
  2. Select ‘Match’
  3. Select ‘Search Patient’
  4. Enter the patient name
  5. Select ‘Refresh’
  6. Based on the Renewal Detail, confirm the patient information. Use demographics, if needed. Hit ‘Select’.
  7. Select ‘Save’. The Change Request will change from RED to BLACK

REQUEST TYPE

  • TherapeuticInterchange – The pharmacy will request a different medication/dosage than the one originally prescribed.
  • Prior Authorization - This will enable the Prior Authorization field
  • Generic Substitution - The pharmacy will request a generic medication rather than the name brand originally prescribed.
  • Out of Stock –The pharmacy is out of stock of the requested medication. – NEW IN v7.7.3
  • Drug Use Evaluation – request a Prescriber authorize a change to the Patient's current medication therapy, such as a dosing regimen change or an alternative medication that will have fewer, or no, adverse effects than the original prescription. – NEW IN v7.7.3

  1. Select the Change Request from the List
  2. Select ‘Respond to Pharmacy’
  3. Select the appropriate Response
    • Accept
    • Deny – select the Deny Reason
  1. Select ‘Save’
    • The response will then be sent to the pharmacy.
    • The Change Request will be removed from the list

    2. Select ‘Respond to Pharmacy’
    3. Select the appropriate Response
    • Accept
    • Deny – select the Deny Reason
    1. The ‘Prior Auth No’ field will be activated. Enter the required information
    2. Select ‘Save’
    3. The response will then be sent to the pharmacy
    4. The Change Request will be removed from the list

  2. Select Respond to Pharmacy
  3. Select the appropriate Response
    • Accept
    • Deny – select the Deny Reason

If a medication is Out of Stock at a pharmacy, a suggestion will be given to the Prescriber for an option.

  2. Select Respond to Pharmacy
  3. Select the appropriate Response
  • Accept
  • Deny – select Deny New Prescription to Follow. Immediately create a new prescription.
